SETTING UP FOR SEMINAR (room 206)

MEET WITH SPEAKER Find out what input device (personal computer, USB, etc.) they want to use. Ask whether there is any media in their presentation, and if there is, make sure to test that it works correctly. Doing a run through of the whole presentation isn’t a bad idea, either.

PREPARATION Turn on lights and adjust to desired setting. To lower the projection screen, find the key in the switch on the wall located to the right of the main white board. Turn the key left or right to move the screen up or down. Turn project system on using little screen located to right of the computer monitor on the podium. If screen is black, tap to ‘wake up.' Hit “projection system on.“ Select device input (based on what speaker said they wanted to use). Cables to plug devices in are located on the right side of the podium when you are standing behind it facing the audience.

START RECORDING The key to start recording is a USB containing the start code located on a white shelf to the left of the podium (if you are looking at the podium & board behind it) and back around that corner. Plug in the key to start recording. Should hear “key recognized” and then “recording started” – this may take a few minutes, be patient. Turn on both microphones and check that the lights are green (charged). If you need batteries, some should be located in bottom drawer of podium (if not, then check IT Staff room 205). Stand in front of cameras (so we can see you) and hit one of the microphones a few times so that (a) the sound of your tapping is recorded, and (b) the video editor can easily see your motions – this helps sync audio to video later in editing. Last thing is to instruct speaker where to stand. There are two cameras taking full shots of the room, and so there are two areas that are not captured, the far left and the far right. There is also a middle section that is distorted, and should be avoided. During Q&A, make sure someone walks around with one of the microphones so that people’s questions are recorded in the audio.

STOP RECORDING When it’s time to stop, pull out the USB key, turn of the system, turn off the microphones, turn off lights, and lock up!
